By using the platform, you acknowledge that your information may be processed as described in this policy to provide the services you request, protect the platform and comply with applicable obligations.

1. About This Policy

Eshop Datamax operates a digital-services platform that allows sellers to offer approved products and services to customers through individual online stores.

This policy applies to public seller stores, checkout pages, order tracking, seller dashboards, administrative systems and other services operated through the platform.

Eshop Datamax handles personal information in accordance with applicable Ghanaian data-protection requirements, including the principles of lawful, fair, transparent and secure processing.

2. Information We Collect

Customer and order information

We may collect receiver phone numbers, selected products, package information, quantities, order references, transaction references, delivery status and related support records.

Registration information

For services such as AFA registration, we may collect the applicant's full name, Ghana Card number, location and active phone number where these details are required to complete the requested service.

Seller information

We may collect seller names, email addresses, account details, store information, pricing, wallet records, withdrawal requests and verified Mobile Money payout information.

Payment information

We receive payment references, amounts, payment status and limited transaction information needed to confirm and reconcile payments.

Full card credentials or Mobile Money authentication details are handled by the payment provider and are not intended to be stored directly by Eshop Datamax

Technical and security information

We may collect IP addresses, browser or device information, timestamps, login activity, security verification events and system logs for fraud prevention, troubleshooting and platform protection.

Communications

We may retain messages, reports and support communications submitted in connection with an order, seller account, refund request or security concern.

3. How We Use Information

We may use personal information to:

  • create, verify, process and deliver customer orders;
  • send order information to approved service providers;
  • verify successful payments and prevent duplicate transactions;
  • provide order tracking and customer support;
  • operate seller stores, wallets and withdrawal services;
  • verify payout accounts and protect sellers against unauthorised account changes;
  • investigate failed orders, complaints, fraud, suspicious activity and security incidents;
  • maintain financial, operational and audit records;
  • improve platform performance and reliability; and
  • comply with applicable legal, regulatory or lawful enforcement requirements.

4. When We Share Information

We do not sell personal information.

We may share only the information reasonably required with:

  • the seller whose store received the order;
  • payment processors and financial institutions;
  • telecom, voucher, registration and fulfilment providers needed to complete an order;
  • hosting, email, security and infrastructure providers;
  • professional advisers or auditors where necessary; and
  • courts, regulators or authorised public bodies where disclosure is lawfully required.

Service providers should receive only the information needed to perform their assigned function and should protect it appropriately.

5. Payment Processing

Online payments are processed through Paystack or another payment provider identified during checkout.

The payment provider may process information such as the payer's contact details, transaction amount, payment method, device information and fraud-screening data under its own privacy terms.

Eshop Datamax generally receives the transaction reference, amount, status and information necessary to match the payment to the correct order.

6. How Long We Keep Information

Order and related customer-support records are generally retained for up to six months from the relevant transaction or completion date.

After that period, records may be securely deleted, aggregated or anonymised where they are no longer reasonably required.

Some information may be retained for a longer period where reasonably necessary for:

  • an unresolved customer complaint or dispute;
  • fraud prevention or a security investigation;
  • financial reconciliation or accounting obligations;
  • enforcement of platform agreements;
  • an active legal hold; or
  • another requirement imposed by applicable law.

Where a record has already been lawfully deleted after the applicable retention period, it may no longer be available for later retrieval.

Seller account, wallet, payout and security records may require different retention periods because they support continuing account relationships, financial reconciliation and platform security.

7. Information Security

We use reasonable administrative, technical and organisational measures designed to protect information against unauthorised access, loss, alteration, misuse or disclosure.

These measures may include access controls, password protection, one-time security codes, payout-account waiting periods, transaction logs, encrypted connections, restricted administrative access and monitoring for suspicious activity.

No online service can guarantee absolute security. Customers and sellers should protect their passwords, devices, email accounts and verification codes.

8. Your Privacy Rights

Subject to applicable law and appropriate identity verification, you may request:

  • confirmation of whether we process your information;
  • access to personal information associated with you;
  • correction of inaccurate or incomplete information;
  • deletion of information that is no longer required, where deletion is legally and operationally permitted;
  • restriction or objection to certain processing where applicable; or
  • information about the purpose for which your data is being processed.

We may need to retain limited information where required to resolve a dispute, prevent fraud, satisfy financial obligations or comply with applicable law.

9. Younger Users

The platform is intended for users aged 15 years or older.

Users under 18 should use the platform with the knowledge and supervision of a parent or legal guardian, especially when making payments or submitting personal information.

A parent or guardian who believes a younger person's information was submitted improperly may contact us to request review and appropriate action.

10. Cookies and Session Technologies

The platform may use cookies and similar session technologies required for login, security, checkout, form protection, preferences and basic platform operation.

Disabling essential cookies may prevent parts of the platform from working correctly.

Where non-essential analytics or marketing technologies are introduced, additional notice or consent may be provided where required.
